Volunteer Job Descriptions

Group: Timing (TRAINING REQUIRED)

  • Timer – (TRAINING WILL OCCUR DURING PRACTICE MEET 5/21)  Accurately takes and records the elapsed time of the swimmer. Start watch at the signal and stop when any part of the swimmer touches the wall at the end of the race. Most starting systems have a strobe light and a buzzer. When the starter starts the race, watch the strobe light and start your watch when you see the light flash. As the swimmer approaches the end of the race, stand up and lean over the edge of the pool to see the touch. Do not touch a swimmer during a race. If your watch does not start or malfunctions during the race, raise your hand and call for a back-up timer. There are two timers assigned to each lane – one from each team. Each team also has a Back-up Timer person assigned to assist in case a timer misses a start.
  • Recorder (HOME MEETS ONLY) – Records the time of both timers. Verifies the two times are in line with one another. Hands off papers to runners.

Group: Bullpen/Staging

  • Bullpen – (6 & Under, 7-8, 9-10) Organizes and lines up swimmers in the team area for their events and sends them to staging.
  • Staging – Receives swimmers from the bullpen and then organizes and lines them up on the benches and behind the blocks in their correct lanes.

Group: Set-up/Clean-up

  • Check – in – Required for home and away meets. Two people per meet. Arrives 20 minutes before swimmers.  Assist Relay Coordinator with 10 and Under relays which occur in the first half of the swim meet.  
  • Set-up – Reports to pool 2 hours prior to meet. Sets up pool area: bullpen, signage, staging, concessions. One shift person will be assigned to purchase ice for the coolers.  Puts up “no parking” signs and checks in all swimmers. HOME MEETS ONLY.
  • Clean-Up –Starts by 9PM (earlier for one team meets) – picks up trash, puts pool deck back in order, put benches and flags in shed, helps break down concessions, empty coolers, and picks up “no parking” signs. Helpful to bring plastic gloves.  

Group: Scoring

  • Data Entry/Verification – Enters results into computer and verifies. Prints labels for place ribbons.

Group: Ribbons

  • Ribbons – For each event, labels appropriate ribbons and files into the Fish Files.

Group: Runner/Spirit Helper (HOME MEET ONLY – must be available on home meet dates)

  • Runner – Collects time cards/sheets from the timers after each heat and delivers sheets to the scorer.
  • Spirit helper – At home meets, awards first place winner of each heat with a prize.

Group: Concessions (HOME MEETS ONLY – must be available on home meet dates)

  • Concessions – At home meets, our team organizes and staffs a concession stand. This is the team’s primary fundraiser! Responsibilities include making and selling food and drinks.  One shift person will be assigned to pick up pizza.
  • Griller – Grillers needed for each home meet.

Group: Stroke & Turn Judge/Starter (TRAINING REQUIRED)

  • Starter – Runs the meet and ensures clean starts. This is a key position that paces the meet and sets the swimmers for the start of an event. TRAINING REQUIRED IN MAY.
  • Stroke/Turn Judge – Officials positioned at the side of the pool who walk the length of the course as the swimmers race. If the stroke judge sees something illegal, he/she reports it to the starter, and the swimmer may be disqualified. TRAINING REQUIRED IN MAY.
